Rights Management

Within your Digital Workplace, you will have the possibility to manage and give specific rights for each person according to their profile.

Some will have more extended contribution rights than others, and you'll also need to be capable of giving extended content rights to certain people.

In Jalios Workplace, these rights are managed by workspace via Rights groups.

These rights groups will allow you to finely manage which population has the right, or not, to contribute on different types of content.

You must therefore focus on the populations and their roles within your Digital Workplace.

Optimize these groups as much as possible, the less you have, the easier it will be to manage them in the long run. A mistake on the rights does not be excused when it comes to adoption!

1. Group types

There are 3 types of rights groups:

  • The sub-sites groups who manage the access of your Sites and Sub-sites within your Digital Workplace.
  • Thecommunities groups who manage the access and rights of the Communities
  • And when a group impacts more than one workspace, or gives global rights on the platform, we refer to it as transversal.

To manage all of this, access the application Members and Groups, under the Advanced tab in your application launcher.

In the case of transversal groups, you will directly find the groups displayed with the number of members, parent groups, subgroups and their creation date.

In the case of groups related to sub-sites groups, they will be arranged within the spaces they concern. By clicking on the arrow to the right of the space name, it will display the groups directly related to it.

2. Group management interface

The default view will show you the general Members and Subgroups tab.

The sub-tabs will allow you to quickly identify :

The number of members
If one or more groups are parents
If your group has sub-groups
And finally the number of groups of same level in the workspace concerned.

The notion of parent groups is important, it allows to inherit the rights of a group to all the members of another group. These rights by inheritance can be cumulated.

The logic of rights by inheritance is as follows:

>> It is the parent group that gives the rights to the members of the subgroups by inheritance.

Note that you can quickly remove a member with the X at the end of the line, they are identified by the icon mceclip4 - 2023-10-04 10h39m49s, this action becomes impossible when a person is a member by inheritance.

The icon mceclip5 - 2023-10-04 10h40m06s then replaces the previous one. When you hover over it, the group by which the inheritance is made is mentioned.

The General Information tab will allow you to modify a set of technical elements such as the visibility of the group, its workspace or simply its description.

The contribution rights will allow you to give rights on specific contents. They are defined as follows:

  • Contribute: Gives the right to create the type of content, by default, that users have the right to edit or delete what they have created.
  • Modify: Gives the right to modify the content of other users.
  • Delete: Gives the right to delete the content of other users.

3. Define rights on a group

in the sub-tabs, you can define rights for the four main content families in Jalios Workplace:

  1. Content is the most common on the platform, whether it is an office document, a blog post or an editorial article.
  2. User content is an element linked to content. For example, a comment is only useful in the context of the content it completes. Practical info: By default, if user content is allowed in a workspace, users systematically have the right to create content, hence the absence of a contribute column in this area.
  3. Portlets are the graphical elements that make up the sites page and communities. Reserved for very advanced use.
  4. You can also delegate the right to modify forms if you use JProcess for your requests and other workflows.

As mentioned earlier in this training course, Jalios Workplace categories are central and powerful elements of rights management.

There are two levels of category management rights:

The first is the right of use. This right allows users to deposit content in the selected categories.
The second is the category management right. This right will allow the user to rename, create and delete categories.

The rights can be positioned in several places in the tree structure of your categories.

Note that by default, positioning a right on a category replicates the rights on all the categories contained in that category.

4. Define an email subscription policy

For a given group, you can define email subscription rules.

Even if it is not recommended to use Emails to promote the sharing and centralization of information, it is sometimes necessary to reach people in their comfort zone.

You can thus define sending rules allowing to inform :

  • The frequency of sending
  • The type of content followed
  • etc...
