Folder-based rights management
1. Rights levels
By default, content inherits the rights of the Community or Sub-Site in which it is positioned.
For example, a document posted in a public Community will de facto be public.
When your space, Community or Subsite, has a file explorer, folder-based document management allows you to refine this behavior at folder level by proposing 3 levels of rights:
1.1. Consultation
Restrict viewing of a folder and its contents to a given audience.
1.2. Contribution/modification
The notions of contribution and modification have been merged. Thus, a person with this type of right on the folder can create content, and modify the content of others.
1.3. Management
Folder managers are "administrators" of a given branch. They have full rights over the tree structure and the content they manage.
2. Rights management interface
Rights are visible in the rights column of your explorer. If you don't have this column on your explorer, we actively recommend that you activate it!
By clicking on a rights icon (1), a modal displays the rights positioned on the element. This can also be accessed by right-clicking on the chosen item (3).
You can also view the rights on the classification branch by clicking on the railroad locks (2).
2.1. Iconography of the rights column
The rights column allows you to identify whether or not content has specific rights.
The iconography is as follows:
- Open padlock : Content or folder has no specific rights. The default visibility is determined by that of the space.
- Closed padlock (Blue): Content or folder has specific rights.
- Padlock in a folder: The content or folder inherits the rights of its classification branch.
- "Space": This document is managed in another space, and is visible via "Inter-space sharing."
3. The folder rights interface
Depending on the rights you have, you can consult or modify the rights positioned upstream of the current folder by clicking on the folders on the railroad (1).
The 3 rights families are visible in the corresponding tabs (2).
Rights inherited from upstream folders and available to administrators are displayed in a dedicated area (3).
Groups and members you can add or remove are available at the bottom (4).
4. The document rights interface
As with folders, specific or inherited rights are visible in dedicated tabs (1).
Inherited rights are displayed in a dedicated area (2), so you can clearly see who has rights over the content.
On the modification side, documents can be used to extend or limit rights (3).
The area for defining specific rights is also shown at the bottom.
