Send content to one or more members

1. The Jalios sharing function

Jalios lets you share any type of content directly from its online storage.

The beauty of this is that anyone who has access to this content can access its up-to-date version. This eliminates the question of: "version sent by whom, when... Okay, let's have a meeting".

In this context, there's another element that adds to the comfort of use: comments. The comments placed below the content are a formidable source of information for building it, but also for its durability.

Having access to the various exchanges surrounding a piece of content helps us to understand it better, and speeds up the process for anyone who needs to consult it at a later date, even when the contributors are not available.

For content contributors, it's possible to access previous versions and the list of people who have consulted it. It is even possible to request a read confirmation directly on the document.

It's also a gain in terms of security. In addition to controlling access to content (readers are listed), access can easily be revoked. A document sent by email is sent, end of game, there's nothing more to do. Whereas in our case, if I realize that the content sent is not adapted to the audience of my share, I close access by changing the rights on the document or its tree structure.

2. Types of sharing

All content has a share icon in the "quick actions" section:

2.1. Share with other members :

Sharing between members of your organization is the most profitable option. While email remains a reference for communicating with the rest of the world, its internal use is more detrimental than beneficial.

Sharing content between members is an effective way of doing this.

The member-to-member sharing interface lets you target one or more people or groups.

You can add a short message explaining the sharing context, and above all a criticality level (2)

This level of criticality will enable you to notify the member in the way he or she has chosen in his or her own rules.

To find out whether a share has been read, a "Sent" tab (1) (only visible after the first share) lets you consult the list of people targeted by your shares, and the proportion who have consulted them.

2.2. Share in another space

Workspace sharing allows you to give consultation rights to the audience of another workspace.

Even if the original space is private or secret, you can offer consultation of content in different spaces.

If the consultation rights of the space in question are added to the document's rights (in accordance with the rights of the folders or categories where it will be filed), modification rights remain managed from the initial space.

2.3. Sharing with an external link

The main reason for continuing to use email is to interact with people outside your organization.

While managing communities with external accounts is the ultimate experience for collaborating with outsiders, it's not conceivable to create an account for all the external people you'll be interacting with.

Jalios offers a simple and secure way to share content, freeing you from the limitations of your recipients' email boxes.

This function allows you to:

  • Send a download link for one or more files
  • Protect sharing with an access code, to be sent by another means (e.g. SMS)

In advanced functions, you can :

  • Choose the download format (native or PDF)
  • Choose whether the person will have the exact version at the time of sharing, or the latest version available.
  • Limit the number of downloads
  • Specify an expiry date for the download link.

Global management of your links, to know their status, or to revoke access instantly, are done in a dedicated application called Public Links :
